The Amazon Quick Microsoft Outlook extension brings AI-powered assistance directly into email workflows, enabling access to organizational knowledge and document analysis without leaving Microsoft Outlook.

# Amazon Quick Microsoft Outlook extension author guide

As an Amazon Quick author, you can deploy Quick Microsoft Outlook extensions after your admin establishes the foundational connection to your organization's Microsoft 365 tenant. Your capabilities depend on the permission level granted by your administrator.

With **limited permissions** (view, share, delete only), you can manage basic extension operations through the landing page after admin completes all setup. With **full permissions** (deploy, view, share, delete, edit), you can download manifests for deployment in the M365 admin center, rename extensions, and access all editing features.

Author capabilities for Microsoft Outlook extensions include:
+ Configure extension connections (requires access to M365 Admin Center portal).
+ Deploy extensions to your organization's Microsoft 365 tenant (requires full permissions).
+ Manage sharing and access permissions (available with limited or full permissions).
+ Customize extension settings - names, descriptions (requires full permissions).
+ Download manifest files for advanced Microsoft 365 deployment (requires full permissions).

## Deploy Microsoft Outlook extension
<a name="add-extensions-outlook"></a>

Deploy a new Microsoft Outlook extension instance in the Quick console. This process establishes the foundation for connecting AI-powered assistance to your Microsoft Outlook environment.

**Note**  
This action requires full author permissions.

1. Sign in to the Amazon Quick console.

1. In the left navigation, under **CONNECTIONS**, select **Extensions**.

1. Select **Create extension**.

1. Select **Microsoft Outlook**. Then, select **Next**.

1. Configure the following fields:
   + **Name** - A name for your extension is pre-filled for you. You can edit this and enter a descriptive name for the Microsoft Outlook extension.
   + **Description** (optional) - A description for your extension is pre-filled for you. You can edit this and enter a new description to provide additional context about this extension configuration.
   + **Installation** type - Your Microsoft Outlook extension uses manifest-only installation by default.

1. Select **Next** to save your configuration.

1. From the **Extension** summary page, navigate to the extension you just configured.

1. Then, from the **Actions** menu, navigate to the extension you just configured.

1. Select **Download manifest**. Then, from the **Complete installation for Outlook assistant** dialog box that opens, select **Download**.

   The manifest file will be downloaded to your computer.

1. From the success message, select **Install extension** to finish downloading the manifest for your extension.
**Note**  
You can also navigate to the extensions summary page and download the manifest for your extension from the **Actions** menu.

1. In the screen asking for permissions to allow your Amazon Quick Outlook extension to access Outlook, select **Allow**.
**Note**  
You will now continue the remainder of this procedure within the Microsoft 365 admin center.

1. In the Microsoft 365 admin center, choose **Integrated apps** from the left navigation and choose **Upload custom apps**. This will open the **Deploy New App** page.

1. Choose **Office Add-in** as your App type.

1. Paste the manifest URL link you copied in the **Provide link to manifest file** and choose **Validate**.

1. Choose the users you want to add in the **Add users** section.

1. Choose **Accept permissions** in the **Accept permissions requests** section and deploy the Add-in. Once deployment is completed, your users will be able to install the Amazon Quick Add-in in their Microsoft Outlook.

Your Outlook extension has now been successfully deployed and is available for users.

## Edit Microsoft Outlook extension

As an author, you can edit the extensions you deploy to your users. Modify extension settings to update names, descriptions, or configuration options. Changes take effect immediately and apply to all users with access to the extension.

1. Sign in to the Amazon Quick console.

1. In the left navigation, under **CONNECTIONS**, select **Extensions**.

1. Select the three dot menu icon for the Microsoft Outlook extension you need to edit.

1. Select **Edit**.

1. Edit the configuration as required and select **Save** to confirm the changes.

## Share Microsoft Outlook extension

Share ownership and management permissions with specific users and groups, enabling multiple users to manage extensions and assist with installation. You can assign different permission levels and manage access as needed.

1. Sign in to the Amazon Quick console.

1. In the left navigation, under **CONNECTIONS**, select **Extensions**.

1. Select the three dot menu icon for the Microsoft Outlook extension you need to share.

1. Select **Share**.

1. Enter the users and groups you would like to share the extension with.

1. Select **Share** to send the access email to each group and user.

1. From the drop-down next to each name, you can edit their access levels (Viewer or Owner).

1. **Optional:** You could select **Remove access** to delete the access for the selected group or user.

## Delete Microsoft Outlook extension

As an author, you can delete the extensions you deploy to your users. Permanently remove a extension from your Quick console and revoke access for all users. This action cannot be undone and requires confirmation.

1. Sign in to Amazon Quick console.

1. In the left navigation, under **CONNECTIONS**, select **Extensions**.

1. Select the three dot menu icon for the Microsoft Outlook extension you need to delete.

1. Select **Delete**.

1. Enter the word, "confirm", and select **DELETE**.

## Add a Microsoft Outlook Extension to your Microsoft Outlook

Install the Quick app in your Microsoft Outlook environment to enable AI-powered assistance. This one-time setup makes Quick accessible throughout your Microsoft Outlook workflow.

**Add a Microsoft Outlook extension to your Microsoft Outlook**

1. Open your Microsoft Outlook.

1. Go to **Add-Ins** and search for **Quick** and choose ** Quick**.

1. You will now see the Amazon Quick logo on the top bar on the right where you can access the chat assistant.

1. Once the add-in is installed, you can use your Quick **Add-In**.

Once you've added Quick to your Microsoft Outlook environment, you can access it conveniently through the navigation pane for quick assistance without interrupting your email workflow. The navigation pane provides persistent access to Quick while you work with emails and conversations.

## Microsoft Outlook extension use cases

With Quick integrated into Microsoft Outlook, you can search and access your organization's knowledge bases directly from your email conversations. This allows you to find relevant information, get answers to questions, and enhance your communications without leaving Microsoft Outlook.

**Get summaries and action items from lengthy email threads**

1. Locate the Quick icon under **add-ins** in your Microsoft ribbon and select the **summarize** shortcut.

1. Alternatively, open the Quick side panel and ask any question of your choice about the email thread in focus.

**Draft speedy replies to emails**

1. Navigate to an email thread of your choice and locate the Quick icon under **add-ins** in your Microsoft ribbon. Select the **reply** or **reply all** shortcut.

1. Quick will create a draft response and open a reply window that is ready to send.

1. Iterate on the draft with Quick and click send.

**Incorporate Quick's company knowledge and general knowledge into your emails**

1. Open an email thread of your choice and ask Quick about its knowledge.

1. Use the **insert text** or **replace selection** buttons to insert Quick's response into your email drafts.

****Perform actions in external applications****

1. Start a direct message (DM) with Quick.

As a user, you are responsible for keeping company information safe. The following guidance helps you use Amazon Quick apps securely while maintaining data privacy and compliance.

### Conversation retention policy and accuracy
<a name="outlook-conversation-retention"></a>

Amazon Quick automatically deletes conversations after 30 days of inactivity. Microsoft Outlook conversation retention follows your company's specific history rules, and Microsoft Outlook retention periods may exceed Amazon Quick's 30-day limit.

Users can review past conversations and attachments. Closing the Quick chat panel ends the current conversation. Reopen the panel to start a new conversation. However, users need to visit the Amazon Quick chat instance to manage their conversations.

### Security considerations
<a name="outlook-security-considerations"></a>

When you use Amazon Quick with email content, remember that responses reflect individual user permissions and content may include information not accessible to all email recipients. It may generate responses that contain sensitive data that can't be publicly shared.

To protect your organization's data, carefully evaluate email usage and plan deployment with data privacy in mind. Amazon Quick maintains strict data privacy by not using customer data for service improvements, not using customer data to enhance language models, and not indexing Microsoft Outlook conversations into your company's Amazon Quick instance.

## Microsoft Outlook extension known limitations
<a name="outlook-extension-known-limitations"></a>

The following are known limitations of the Amazon Quick Microsoft Outlook extension:
+ The Microsoft Outlook extension is only able to access your current selected email (which can include your email thread). It is unable to answer questions across all emails/calendar events in your inbox. To enable access to your entire inbox and calendar, configure the Microsoft Outlook [actions integration](https://docs.aws.amazon.com/quicksuite/latest/userguide/creating-action-connectors-admin-console.html).
+ The Microsoft Outlook extension can't generate visuals from structured data.
+ Web search isn't supported in the Microsoft Outlook extension at this time.
+ You cannot review your conversation history in Microsoft Outlook at this time. To review and manage your conversation history, use the Amazon Quick chat instance.
+ The Microsoft Outlook extension doesn't support [flows](https://docs.aws.amazon.com/quicksuite/latest/userguide/flows.html).
+ The Microsoft Outlook extension supports up to 19 uploaded files and your current email thread. For more information on file upload support, see [Upload files and chat](https://docs.aws.amazon.com/quicksuite/latest/userguide/using-quick-chat.html#file-uploads).
+ The Microsoft Outlook extension doesn't support filtering during chat based on **Recently used** agents. Users will have access to the full list of available agents and can pick agents they want to use.
+ The Microsoft Outlook extension doesn't support the **Actions** menu, so you can't invoke actions explicitly. However, implicit actions are supported.
